Job Title: Support Service Administrator
Location: Khartoum, with travel to other states as required
Responsible to: Support Service Coordinator
Period: One Year; Fixed-term contract. Extensions may be possible subject to funding and performance.
Start date: As soon as possible
Salary: 3,724.50 SDG Monthly Gross salary; the equivalent net monthly salary will be paid in hard currency (GBP); plus, other RedR benefits.
Purpose:
To act as a Support Service Administrator to manage all support related services, including administration, logistics, liaison and coordination with the focal point of RedR Field office. The Support Service Administrator will provide administrative support to the RedR Sudan programme and is a member of the support staff.
Main duties and responsibilities:
Admin Management
* Keeps tracking of Redr annual registration and other official requirements necessary to run the Organization activity in Sudan.
* Processes and obtains work/ Stay permits, Entry/ Exit Visas for redr international staff. Regularly updates for information.
* Keeps and updates regularly the list of international staff in terms of visas (their validity and ensures timely renewal).
* Assists in the process of entry visas from Embassies in Sudan for international staff willing to travel to other countries and National staff participating in the external trainings.
* Obtains domestic travel permits for international staff.
* Assists in contacting and coordinating with different NGOs, government, UN agencies.
* Coordinates with program manager in obtaining the Technical Agreement endorsements from federal and state HAC.
* Provides support, as needed, to the submission of annual and biannual reports to HAC.
* Follow up in all HAC and Ministries Meetings of representatives and announced workshops as needed.
* Uses written and verbal communication to effectively represent the mission and work of Redr.
* Maintain folders and standardize templates for official letters to HAC, governmental corporations of GOS, Ministries, NGOs, and UN agencies.
* Liaise between Khartoum office & field office in El- Fasher in terms of preparations of trainings needs or any other activities.
* Handel Bank transaction for finance such as collecting bank statements, depositing cheques, and collecting exchange rate.
* Submit social insurance and taxation checks.
* Collecting attendance sheets from staff in Khartoum and Elfasher for Payroll purposes and follow up on pending sheets.
* Other tasks asked by his / her direct supervisor
Person Specification
Essential
* Bachelor’s Degree in Business Administration, Organizations Management, or any relevant field is required.
* Minimum of 1-year work experience with a INGOs or National NGO in administrative support function, with increasing responsibility. Experience with a local or international NGOs regulations.
* Good Knowledge and command on HAC liaison process is required.
* Experience and proficient skills in MS Office package (Excel, Word).
* Good spoken and written English and fluent spoken and written Arabic.
